The Legal Secretary works directly with Chief Legal Officer and Associate General Counsel to perform a broad range of responsibilities that encompass timely and complex preparation of legal contracts, legal filings for litigation, claims, related business correspondence, governance documents and formal requests.



  1. Typing of legal contracts, redlines and final documents. Preparation of legal memoranda.
  2. Arrange for delivery of legal correspondence to clients, witnesses and court officials.
  3. Prepare and process legal documents and papers; summonses, subpoenas, complaints, appeals, motions and pretrial agreements.
  4. Coordinates efforts to facilitate timely execution of agreements.
  5. Answers phone for Legal department; assists with getting caller to correct person in Legal/Risk /Compliance.
  6.  Maintain attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates.
  7. Provide litigation support for in-house and external attorneys.
  8. Maintains lines of communication with various internal/external departments and organizations.
  9. Prepares travel and meeting itineraries for legal department.
  10. Assist with gathering information related to legal or regulatory projects.
  11. Composes routine letters and memoranda and prepares reports using knowledge of work are instructions and guidelines.
  12. Provides periodic internal updates and contract metrics.
  13. Coordinates efforts to facilitate timely execution of agreements.
  14. Verify and route correspondence, reports and legal documents, drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings, scheduling couriers.
  15. Represents attorney by communicating and obtaining information, following-up on delegated assignments; knowing when to act and when to refer matters to attorney.
  16. Tracks payments and invoices.
  17. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions; maintaining transcripts; documenting and maintaining evidence.
  18. Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  19. Provides cross-coverage support in absence of others in office as needs and staffing dictate.

Technical Expertise:

  1.  Proficient secretarial and analytical skills to include: typing/word processing, track changes (redlining of documents), filing, proofreading, and editing correspondence, duplication equipment, and hospital-standard computer software programs, including the use of spreadsheets, power point presentations, and electronic mail.
  2. An understanding of basic contract fundamentals through the successful application of this knowledge to the variety of contracts such as Professional Services Agreements, Employment Agreements, Affiliation Agreements, Confidentiality Disclosure Agreements, Business Associate Agreements and Clinical Study Agreements.
  3. Ability to perform responsibilities in compliance with operating standards, industry standards and standard contract principals.
  4. Effective organization and workload maintenance.
  5. Communicates effectively and appropriately with hospital staff, both orally and in writing, and interact professionally with a variety of individuals and to work under pressure while maintaining a friendly and helpful manner.
  6. Strong attention to detail and accuracy.
  7. Must be able to work with minimal supervision, demonstrate mature judgment, and juggle multiple priorities.
  8. Microsoft office experience required. Demonstrated secretarial skills, including proficient use of word processing and spreadsheet software, as well as basic office equipment; accurate typing at 55 wpm.  
  9. Experience with creating and maintaining databases required.  



Education and Experience:

Education: High school diploma or equivalent;

Experience: Minimum of 5 years legal secretary experience required; experience in law firm setting preferred. Experience with creating and maintaining databases required. 

Certifications: Notary public required within 1 year.
