Executive Assistant II
Responsible for providing administrative, organizational and clerical support to assigned members of the executive leadership team. Completes a broad variety of administrative tasks such as composing/preparing invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database, and/or presentation software. Numerical and analytical ability is necessary to prepare statistical and other reports that require calculations and compilation of data and assist in preparation of departmental budget as needed. Will be responsible for scheduling and preparing various meeting/special event materials, attending meetings and recording minutes as requested, and serves as a resource and providing additional support as requested. Performs functions of a confidential nature requiring a high level of professionalism and ability to effectively interact with hospital governance, executive leadership and representatives of external organizations. Provides secretarial back-up to the Administrative Staff by answering phones, cooperating with absence coverage of other secretaries, helping others when workload necessitates, and performing other miscellaneous duties as assigned.
Bachelor’s degree in a business related field required. Minimum five years' experience in an Executive Assistant position required, experience with board of directors preferred. Knowledge of executive and corporate responsibilities required. Requires the highest level of confidentiality of highly sensitive information and confidences related to the BOD, WB, Foundation Board, Medical Staff, Administrative Staff, and Hospital personnel, as well as, operational changes and strategic planning and legal matters pertaining to the Hospital. Strong written and verbal communication skills, ability to work independently on projects, from conception to completion. Must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Demonstrated proactive approaches to problem-solving with strong decision-making capability, proven track record of being calm and focused under pressure, maintaining professional interactions with associates at all levels and establishing rapport quickly. Familiarity with medical/legal terminology, SharePoint and Board Portals helpful but not mandatory.
