Provides confidential administrative and secretarial support executives in the Research Institute, including Research Directors, RDCRI, Vice President, and Chief Research Officer.
Accurate and efficient processing of various documents, ranging from general correspondence to scientific and technical and highly confidential reports.
Responsible for taking meeting minutes and assisting with projects as assigned.
Manage & maintain multiple calendars, including scheduling of meetings, travel, presentations, etc.
Oversee the ordering of supplies used for clinical research, office supplies, and ensuring inventory and proper functioning of equipment, such as the copier/fax machine.
Maintain record storage and filing, extend proper telephone courtesy, greet and welcome guests, and cooperate & coordinate with coworkers.
High school diploma or equivalent required
Minimum of 2-3 years secretarial experience or equivalent course work required
Associates degree preferred; previous experience in research or an academic environment is strongly preferred
Proficient in Microsoft Word, Outlook, PowerPoint, and Excel
Knowledge in formatting journal articles for publication, with the ability to assist with editing and formatting grant submissions
Typing speed of a minimum of 45 WPM, including transcription skills
Demonstrated organizational and time management/prioritization skills Proficiency in the English language, with excellent use of grammar & spelling
Ability to work under stressful conditions in an appropriate and professional manner
Knowledge of medical terminology and diseases Must be detail oriented and able to maintain confidentiality
Working Conditions :
Works in a typical clean and comfortable office environment with most job performance at a desk, but some standing, walking, carrying, stooping and stretching required in performing duties.
At times, may work under stress to meet deadlines. Requires close attention to detail and accuracy, the ability to hear and respond to incoming and outgoing phone calls and other verbal activities, and the manual dexterity to allow for keyboard use.
