Director Secretary External Affairs
Provides confidential secretarial support to the Director of Community Benefits, Advocacy and Outreach and the Director of Government Relations in their performance of their duties. Coordinates, attends and acts as record keeping secretary to the Advocacy Committee, Outreach Events Committee, etc. Acts as receptionist for the External Affairs Office by greeting and providing assistance to all office visitor/guests, answering incoming calls and returning calls. Maintains office supplies for the External Affairs office and initiates work requests and arranges for maintenance of equipment when needed. Coordinates various events, tours and meetings, including legislative tours, shadowing programs, and others. Reviews and modifies community benefit forms/occurrences and resolves reporting issues. Assists with Community Benefit training and education for new employees and CB delegates. Initiates purchase orders and supply requisitions and maintains office supplies and equipment. Responsible for maintaining Government Relations website content via the Soft Edge website. Assists the staff in the Department with special projects as needed.
High school diploma or equivalent required; Associate degree preferred. Minimum three (3) years relevant experience required. Requires proficient secretarial skills and the ability to communicate clearly, concisely and effectively. Proficiency in word processing, spreadsheet software, Excel, databases, accurate typing (55 wpm), internet usage and basic office equipment required. Must be proficient in finding and applying information researched on the Internet with the goal of creating useable documents. Must be proficient in the English language with excellent use of grammar and spelling. Must be skilled in written and oral communications, tact and diplomacy and able to compose correspondence. Ability to multitask and work with minimal supervision. Must be well-organized, detail oriented and able to maintain confidentiality.
