Schedule: 40 hours/week, Monday-Friday 8:00 a.m. - 4:30 p.m.


Position Summary:

Provide secretarial and administrative support to the Director and department staff. Responsible for the smooth running of the office, which includes handling a heavy and diverse scheduling for interpreters, as well as special requests and fulfillment for information and assistance from staff, media, community agencies, physicians, administrators, volunteers, parents, vendors and visitors. Responsible for inventory/ordering supplies, general secretarial duties, coordinating assembly of educational materials. Performs secretarial duties for the department including scheduling appointments, answering and routing telephone calls, typing of reports, letters, and dictation, Xeroxing and faxing. Coordinates office procedures and efficient operation of department. Communicates effectively via personal contact, phone and in writing with patients/ families, hospital staff, community professionals, insurance companies, etc. Schedules and receives patients/ families for all department services. Accurately uses PC and CRT for reports, letters, forms, etc. Complies with all department/ hospital policies and procedures.  Participate in cross coverage efforts with other secretaries/departments as directed. Assists with other duties as assigned.

Position Qualifications:

High school graduate or equivalent required.  Minimum of three (3) years relevant work experience required.  Business training and knowledge of office equipment, specifically computer, printers, and copiers required. Skilled in Windows Explorer, Outlook, Microsoft Word and Excel. Experience with Microsoft Access, PowerPoint and databases preferred. Knowledge of digital imaging a plus.  Must be able to type 25 WPM. Strong communication (verbal and written), interpersonal and organizational skills required.  Previous experience in a busy office needed. Prefer scheduling experience and 1 year of secretary experience.
