Executive Secretary, Research Department
Shift Information: Day Job
Monday-Friday 8:00 a.m. -5:00 p.m.
Provides administrative and secretarial support to the Chief Research Officer and Vice President of Research Administration as needed. Experience in general and academic research preferred. Handles issues and answers inquiries in accordance with approved policies; supports and coordinates planning and advisory boards, committees, and staff meetings; coordinates administrative schedules, meetings, travel arrangements, and conference calls; prepares various statistical reports and spreadsheets for administrative projects. Assists in special projects and other administrative activities as requested. Provides general secretarial support to the Research Institute.
Bachelor’s degree in science, business administration or related field preferred; minimum of 3 years’ experience in mid-to-senior level administration, research, business management or related field; must have proficient secretarial and organizational skills, filing, keyboarding 45 wpm and ability to record and transcribe minutes and correspondence. Proficient computer skills including Microsoft Office Suite (Word, PowerPoint, Excel), preferred experience with Visio and Project; Scheduling meetings/updating multiple calendars is essential. Proficiency in the English language with excellent use of grammar and spelling is necessary. Must have exceptional organizational skills, excellent time management and prioritization skills, able to concentrate on multiple tasks, and the ability to work with and adapt to various personalities at all levels of the organization, including external stakeholders and community partners. Must have the ability to maintain security of corporate activities and confidential personnel actions as well as the ability to work under stressful conditions in an appropriate and professional manner of a busy office environment.
