Position Summary:

Performs secretarial support and project assistance for the Director of APP Center. Functions as the coordinator for the advanced practice registered nurses’ and physician assistants’ graduate student rotations and placements. Oversees the database and portal utilization for the student placement and works with all divisions and schools to properly place students. Responsible for the contract routing process and maintenance for schools and hospital.  Prepares, maintains and presents statistical and administrative reports as requested. Exercises professional judgment in prioritizing workload and coordinating multiple functions involving other departments and institutions. Serves as secretary to conferences, and other committees as assigned. Manages conference registration process in its entirety, including CME tracker, accounting for and processing registration dollars.  Coordinates and schedules meetings, records, transcribes and distributes agendas and minutes for multiple committees. Works independently to compose written communication. Serves as a secretarial resource to advance practice providers, Professional Advancement Model, and orientation/boot camp programs. General responsibilities include:  telephone communications, greeting staff and visitors, ordering supplies, distributing correspondence, photocopying, scheduling meetings and classes, filing, organizing records, ordering supplies/equipment and entering and extracting computer data, formatting PPT and other documents as requested. 


High school diploma or equivalent required. Associate degree in secretarial science preferred. Minimum one (1) year office experience in the medical field required. Medical terminology preferred. Proficient use of word processing, spreadsheet software, accurate typing prefer 45 wpm and knowledge of basic office equipment. Must demonstrate the ability to communicate clearly, concisely and effectively, make decisions, juggle multiple priorities, work independently with minimal supervision and maintain a high level of confidentiality. Must have the ability to deal with a variety of situations and personalities with ease and diplomacy. Must be able to maintain cooperative relations with those contacted in the course of work. Must have exceptional organizational skills, the ability to work with and adapt to various personalities at all levels of personnel, and the ability to maintain security of corporate activities and confidential information. Verbal ability is necessary to understand a variety of technical subjects relating to various departments and to communicate with Hospital personnel and outside agencies. Proficiency with power point, word, and excel required.

Preferred qualifications: Microsoft Office experience (Primarily Outlook and Excel), Web page building experience, and database experience. Healthcare and Hospital experience preferred.
