Summary:

The Residency Coordinator, under the direction and supervision of the Residency Program Manager is responsible for assisting in the administration of the residency program as outlined in the Accreditation Council of Graduate Medical Education (ACGME) Program Requirements. The Residency Coordinator provides administrative support to the Residency Program Manager and Program Director of the residency, Chief Residents, and provides support to faculty, residents, and fellows. The Residency Coordinator additionally will interact with faculty, residents, fellow(s), medical students and institutional and regulatory administrative offices as directed by the Program Director or Program Manager.

Responsibilities:

1. Coordinate the daily operations and logistics for the residency program

2. Adhere to procedures and systems that ensure orderly and timely workflow

3. Maintain knowledge of current medical licensure requirements, immigration policies, ACGME program accreditation and institutional requirements.

4. Implement and update program databases; track resident progress, maintain program documentation and maintain confidential resident files

5. Coordinate with Chief Residents to maintain and distribute resident rotation schedules, call schedules, vacation/leave schedules and meeting schedules

6. Coordinate outside electives which include applications, affiliation agreements, malpractice confirmation, evaluation forms and any information requested by participating site

7. Assist with residency recruitment including: manage the application process through ERAS, schedule interviews for candidates as well as coordinate faculty interviews

8. Coordinate orientation and onboarding for new residents

9. Arrange required certification and re-certification training courses

10. Serve as liaison with other departments and affiliated institutions

11. Provides administrative support to the associate program directors and Chief Residents

12. Assists with special projects and events

Other information:

Technical Expertise:

1) Demonstrate knowledge and skill with Microsoft Office (Excel, PowerPoint, etc.).

2) Demonstrate knowledge and skill with data management applications including Electronic Residency Application Service (ERAS), Thalamus, ACGME WebAds, AAMC GME Track preferred.

Education and Experience:

1) Education: Bachelor’s degree in a related field.

2) Previous Medical Education experience strongly preferred.

3) Strong data collection and data entry with attention to detail; requires high level of accuracy.

4) Experience with event coordination and scheduling a plus.
