Hybrid (Onsite 2-3 Days/Week)
Summary:
Responsible for coordinating and processing the routine & non-routine release of protected health information (PHI) for all purposes; including legal, medical, regulatory, payer, patient/parent/legal guardian and MyChart requests in accordance with Akron Children's policies and guidelines. Responsible for maintaining up-to-date knowledge of all state and federal laws and regulations pertaining to the release of (PHI). Protects patient privacy by maintaining confidentiality in all phases of release of PHI. Provides excellent customer service to all internal and external customers and requesters.
Responsibilities:
- Processes requests for the release or disclosure of protected health information (PHI) in accordance with state guidelines and HIPAA law to send out documents within a 30-day timeframe per federal regulations.
- Responds quickly and appropriately to all requestors, assists with filling out paper & electronic forms to request records & provides excellent customer service on the phone and in person.
- Uploads records to secure portals and other secure sites in a timely manner.
- Activation of MyChart accounts & processing requests for records to parents & patients via MyChart, e-mail, fax, mail, or in person.
- Locates and collects electronic and paper records from multiple electronic records systems and calls back paper records from archived storage sources to send a full complete chart upon request.
- Reviews legal documents to establish appropriate legal guardianship for patients.
- Certifies records for legal purposes and acts as a subject matter expert within the organization for ROI purposes.
- Reviews medical charts and enters appropriate information including ICD-10 codes into the state of Ohio Trauma EMS database for all regional traumas.
- Assists with the training and support of new ROI Specialists as needed.
- Is responsible for on-call duties to cover after hours, as assigned by management.
Other information:
Technical Expertise
- Experience in ROI & Health Information Management is preferred.
- Experience in a healthcare setting and medical terminology is required.
- Proficiency in MS Office/O365 [Outlook, Excel, Word] and Adobe Acrobat, or similar software is required.
- Experience working at all levels within an organization is preferred.
- Proficient computer skills are required.
- Thorough knowledge of HIPAA laws and regulations is required.
- Must have excellent time management, organizational, and communication skills, and be able to multitask.
- Must demonstrate the ability to work in an independent and task-oriented manner to meet HIPAA deadlines.
Education and Experience
- High School Diploma or equivalent is required.
- Commissioned as Notary Public within 6 months of hire is required.
- ROI micro-credential certification through AHIMA (within 12 months of hire) is required.
- Associate degree in HIM or other healthcare related field is preferred.
- RHIT/RHIA credentials are preferred, experience in HIM accepted in lieu of education.
- Years of relevant experience: 1-3 years in the healthcare field is required, less may be accepted with RHIT/RHIA (or eligible) education in HIM.
